The Petplan Veterinary Practice Scheme is free to join for veterinary practices that want to encourage their customers to take our pet insurance for their dogs, cats, rabbits (the “Petplan Policies”). As a veterinary practice participating in the Petplan Veterinary Practice Scheme (the “Scheme”) You agree to comply with these Terms and Conditions.
In these Terms and Conditions:
References to “You” and “Your” means the veterinary practice participating in the Scheme; and “Petplan” means Allianz Insurance Plc (registered number 84638 and FCA firm reference number 121849) whose registered office is at 57 Ladymead, Guildford, Surrey GU1 1DB.
- The Scheme is only open to responsible veterinary practices. Petplan may refuse to accept anyone as a member of the Scheme at its absolute discretion.
- You must be resident in the UK, aged 18 years or over and hold all necessary licences, registrations and permissions required to operate a veterinary practice in the United Kingdom.
- If Your registration is approved by Petplan, You will be entitled to one membership in the Scheme.

Subject always to these Terms and Conditions, Petplan hereby appoints You to:
- (a) provide information to Your customers in relation to the Petplan Policies;
- (b) distribute Petplan-approved marketing materials to Your customers; and
- (c) provide Petplan with details of Your customers who have agreed for You to pass their details to Petplan, so that Petplan may contact the customer directly about the Petplan Policies. In consideration of Your participation in the Scheme, You shall, subject to these Terms and Conditions, be entitled to participate in the Petplan Reward Scheme as detailed in Clauses 28 to 41.
- You will use only the marketing materials provided by Petplan, which may be downloaded by You or ordered by You from Petplan's website, and You will not vary or alter such material in any way. We grant you a non-exclusive, non-sub-licensable licence to use Petplan's marketing materials during the term of your participation in this Scheme in order to perform Your obligations under these Terms and Conditions.

By participating in this Scheme, You shall:
- (a) act within these terms and conditions, in accordance with Petplan's reasonable instructions and requirements as notified to You from time to time;
- (b) not introduce any insurer other than Petplan to Your customers for the provision of pet insurance; and
- (c) not offer any advice or make recommendations relating to insurance cover to Your customers.
You must notify Petplan as soon as possible if You are invited to offer pet insurance from any other insurer or to enter into any contract to distribute any other pet insurance to Your customers.
- You will conduct Your business at all times in accordance with good industry practice in a way that will not risk damage to Petplan's brand, reputation or goodwill.
- Before and during Your participation in this Scheme, You will ensure that all members of Your staff involved in the activities set out in Clause 4 undergo training and/ or refresher training (as applicable) as may be required by Petplan from time to time.
- You shall at all times ensure that You and Your staff do not knowingly do or omit to do anything that would cause Petplan to be in breach of its legal and regulatory obligations and You shall notify Petplan immediately if you become aware of any breach of these Terms and Conditions.
- You will be assigned a Petplan Territory Manager who will be able to provide You and Your staff with support and who will make contact with You regularly. During your participation in this Scheme, You will have access to the Petplan support tools and marketing materials, all of which are available to access and/ or download via Petplavet.co.uk
Suspension or Termination of Your membership in the Scheme
- You agree to notify Petplan within 24 (twenty four) hours if You are the subject of an investigation by Your regulatory body and such investigation impacts any licences, registrations and/ or permissions required to operate a veterinary practice in the United Kingdom . Following any such notification, Petplan shall determine at its absolute discretion whether to; (i) suspend Your membership of the Scheme; or (ii) terminate Your membership of the Scheme; or (iii) take a different course of action which it deems appropriate in the circumstances, acting reasonably.
- Petplan or You may terminate Your involvement in the Scheme with immediate effect by giving written notice (which shall include email) to the other. The relevant email address for serving notice on Petplan will be AHPartnershipSupport@allianz.co.uk . The relevant email address for serving notice on You will be the latest email address of Yours that You have provided to Petplan as part of Your involvement in the Scheme.
- Petplan will give You 3 (three) months’ written notice (which shall include email) in the event of its termination of the Scheme. In respect of any Rewards earned prior to the effective date of termination (as applicable), Clause 32 shall apply.
- Petplan offer a dedicated Vetline, through which You may seek guidance from Petplan in relation to Your obligations under these Terms and Conditions. The number for the Vetline is: Nbsp0330 100 9681
- You will identify and refer all complaints or expressions of dissatisfaction made by any of Your customers in relation to any Petplan Policy to Petplan and Vetline within 24 (twenty four) hours of receipt by You. This obligation applies regardless of the method the customer used to complain (e.g. in person, phone, email, letter, etc.).
- Petplan will monitor Your compliance with these Terms and Conditions and for a period of 1 (one) year after the end of Your participation in the Scheme, Petplan, the Financial Conduct Authority (or any successor regulator from time to time) or their respective representatives may audit Your compliance with the Terms and Conditions.
- Petplan reserves the right to change these Terms and Conditions at any time. Updated versions of the Terms and Conditions will appear here: https://www.petplanvet.co.uk/veterinary-practice-insurance/terms-and-conditions/and are effective immediately. You are responsible for regularly reviewing the Terms and Conditions. Your continued participation in the Scheme after any such changes constitutes Your consent and agreement to be bound by the updated Terms and Conditions.
- Other than liability that cannot be limited by law, under no circumstances shall Petplan or You (to the extent that You have not acted outside of the Terms and Conditions) have any liability to the other for any indirect, special or consequential loss or damage including loss of profits or revenues, loss of contract or business opportunities, or loss of goodwill.
- Subject to Clause 18 above, each Party (the "Indemnifying Party") agrees to indemnify the other Party ("the Indemnified Party") in respect of any costs, claims, loss or liability whatsoever suffered by the Indemnified Party, including reasonable and properly incurred legal costs and disbursements, as a result of any breach by the Indemnifying Party of these Terms and Conditions.
- Each of You and Petplan shall keep these Terms and Conditions confidential. You shall only disclose information relating to these Terms and Conditions and the Rewards Scheme to those of your employees, partners and advisors who reasonably need to know in order to perform any of Your obligations set out in these Terms and Conditions.
- You must notify Petplan of all actual or potential conflicts of interest (including but not limited to personal or economic relations) due to business or personal relationships with Petplan staff or clients, other suppliers of Petplan, competitors of Petplan, or with other Petplan group employees.
- These Terms and Conditions shall be governed by English law, and Petplan and You both submit to the exclusive jurisdiction of the courts of England and Wales.
Scope of Activities – What You can and can't do as part of the Scheme
- When performing insurance-related activities under the Scheme, You must, as You would in Your primary veterinary business, act honestly, fairly and professionally in the best interests of Your customers.
- As a veterinary practice participating in the Scheme, any customer information You transfer to us is only done so on the basis of the “provision of information obtained in the ordinary course of business”.
- Provided that You act in accordance with these Terms and Conditions at all times, Your actions of introducing Your customers to Petplan, will be exempt from Financial Conduct Authority regulation due to the Article 33B of the Financial Services and Markets Act 2000 (Regulated Activities) Order 2001).

As part of the Scheme and Your interactions with Your customers, You can do the following:
- (a) provide generic advice on the overall merits of pet insurance. (e.g. "We recommend that you consider taking out pet insurance");
- (b) passively display Petplan-approved marketing materials in all areas of Your veterinary practice (e.g. Petplan posters/ leaflets) by:
- (c) actively distributing Petplan approved marketing materials to Your customers (e.g. handing a customer a leaflet the Petplan Policies); and
- (d) provide information in relation to the Petplan Policies in conversations with Your customers (e.g. “you are entitled to four weeks' free pet insurance from Petplan when [Pet Name] is vaccinated”); and
- (e) where your customers have consented, provide to Petplan relevant client information that You have obtained in the ordinary course of Your veterinary practice (e.g. name, contact details, pet's name, species, breed, age etc.) and that is required by Petplan in order for Petplan to offer Your customer a Petplan Policy.

As part of the Scheme and Your interactions with Your customers You cannot do any of the following:
- (a) advise customers in relation to the merits of purchasing any Petplan policy (e.g. You must not say anything such as, "We recommend that you take out a Covered for Life policy with Petplan");
- (b) suggest that, You are recommending any Petplan insurance product to Your customers;
- (c) provide information in such a way that it might be viewed as seeking to persuade or influence a customer into purchasing a Petplan pet insurance policy (e.g. You must not say anything such as, " We recommend that you consider taking out pet insurance - Petplan do a lifetime policy called Covered for Life");
- (d) use any unapproved marketing materials related to the Petplan Policies; and/ or
- (e) actively gather details from Your customers solely in order to provide them to Petplan; the information that You provide to Petplan must have been obtained in the ordinary course of Your veterinary activities.
The Petplan Vet Rewards Scheme
- By participating in this Scheme, You will be able to earn credits which You can exchange for various vouchers and items that are available through the Scheme from time to time (“Rewards”). The Rewards may be earned in respect of annual Petplan insurance policies taken out by Your customers for dogs, cats, rabbits or horses after You have introduced them to Petplan.
- You must keep Petplan informed of any changes to Your contact details. Petplan will not be responsible for any loss of Rewards or vouchers incurred as a result of Your out of date details.
- Petplan may remove Your account and any Rewards will be forfeited if it is unable to make contact with You after making reasonable attempts to do so.
- Petplan will give You 3 (three) months' written notice (which shall include email) in the event of its termination of the Scheme. In respect of any Rewards credits earned prior to the effective date of termination, Clause 31 shall apply.
- In the event of the termination of the Scheme in accordance with Clause 12 or termination of the Scheme in accordance with Clause 31, You will have a further 6 (six) weeks after the effective date of termination for the final exchange of Rewards credits, after which time they will become null and void.
- In the event of termination of the Scheme or Your participation in the Scheme, for whatever reason, You will not be awarded any future credits after the effective date of the termination and You agree to destroy all Petplan marketing materials You may hold.
- Petplan may decline to issue, withdraw or cancel Rewards at any time where Petplan has reasonable belief to suspect any breach or attempted breach of the Terms and Conditions or where Your participation in the Scheme has been terminated by Petplan for any reason.
- Rewards and reward items cannot be transferred, bought, sold or in any way traded by You. They are allocated to the registered participating veterinary practice and not to any individual in their personal capacity or partners in such businesses.
- Rewards have no value until converted into vouchers and cannot be exchanged for cash. However, in place of vouchers, a cash equivalent can be donated to a selection of animal charities. This list can be obtained via Vetline on 0330 100 9681.
- Delivery of reward items will only be made to the veterinary practice’s registered address and will, subject to availability, be dispatched within 28 days of order.
- Petplan accepts no liability whatsoever in respect of reward items supplied under this Scheme.
- Petplan reserves the right to change or remove, at its absolute discretion at any time, the items available in the Scheme without notice or any liability to You.
- Petplan may at any time without notice and without liability, supply alternative items of a similar nature and value to those ordered. If You are unhappy with the alternative item, the box must remain sealed and You must contact the Scheme administrators on 03333 010331 within 7 days of delivery of Your item. In the event of any reward item being unavailable or discontinued, You will be contacted to arrange a suitable alternative.
- Petplan reserves the right to vary the credit values and exchange rates in respect of Petplan accepts no liability whatsoever in respect of reward items supplied and to vary these Terms and Conditions at any time without prior notice or liability.
- If You or any of Your employees receive gifts from the Scheme, You or Your employees may be liable for tax on the gifts as “taxable benefits”. It is the responsibility of You or Your employee to make appropriate declarations to HMRC. It is Your responsibility to make the appropriate declarations to HMRC.
- All correspondence regarding the Scheme should be addressed to Rewards, PO Box 504, Leicester LE94 OAE or via the helpline number 03333 010331.
Data Protection
- Petplan and You, both acting as data controllers, undertake at all times to comply with the Data Protection Laws, the Data Protection Act 2018 and all legislation enacted in the UK in respect of the protection of personal data from time to time.
- You will provide Petplan with personal data of Your Customer only where You have obtained the necessary permissions from the customer for such data to be shared with Petplan.

- Personal data that Petplan collects about You as a veterinary practice will be used in accordance with the Petplan Privacy notice available here: https://www.petplan.co.uk/privacy-and-legal/
- Where requested, You shall assist Petplan in complying with its obligations under the Data Protection Laws in relation to data subjects’ rights.
